When you use our contact form, we collect your name, work email, clinic and country, your phone number if you choose to give it, and the patient markets you select. This data is used strictly to contact you regarding our patient acquisition services.
If you give us a mobile number and agree to receive text messages, we store that number, the record that you agreed, and when and where you gave that agreement, together with the messages we send to you and the replies we receive. Agreeing to text messages is never a condition of working with us.
We text the staff of our partner clinics about their own partnership with us: arranging a call, asking or answering a question about an advert, an approval or a booked appointment, or confirming something after a call. Each message is written one to one by the person working with your clinic, so message frequency varies with what your partnership needs; there is no recurring campaign. Our system sends no more than five messages a day to any one number, never sends to a number that has opted out, and, where it works from a calling list, will not send outside 08:00 to 20:00 in the recipient's own time zone (11:00 to 20:00 Eastern where we cannot place the time zone). We do not send marketing text messages, we do not text numbers we bought or scraped, and we do not text patients or intended parents.
Reply STOP to any message from us to stop text messages to that number; STOPALL, UNSUBSCRIBE, CANCEL, END, QUIT, REVOKE and OPTOUT work the same way. Reply START or UNSTOP to start again, and HELP to get help. You can also email christos@klinikmatch.com and ask us to stop. Message frequency varies, and message and data rates may apply: what you pay, if anything, depends on your mobile plan and your carrier. When a number opts out we keep the number and the fact of the opt out, so that we do not text it again. Full detail is in our Terms of Use.
We do not sell, rent or share mobile phone numbers or text messaging consent with any third party for that third party's own marketing purposes. No third party obtains the right to text or call you for its own marketing because you gave that consent to us. We use a telecommunications provider to carry our text messages; it handles them on our instructions and for no purpose of its own.
We use Google Analytics 4 and Microsoft Clarity to understand how visitors use our site. Google Analytics measures visits, for example which pages are viewed and whether the contact form was sent. Microsoft Clarity records how visitors scroll and click on the page. Both set cookies and collect data such as device type and browser. Neither loads unless you select Accept in our cookie notice.
Once you have replied to one of our emails, later emails we send you may contain a small image that tells us the email was opened and when. We use this to know which conversations to follow up. We do not record your location or your device. Our first email to someone who has not replied to us carries no such image. If your mail app does not load images, nothing is recorded.
We process your contact data based on your consent and our legitimate interest in responding to your business inquiries. Analytics tracking is based solely on your opt-in consent. We record email opens on the basis of our legitimate interest in following up business conversations.
We use service providers located in the United States to process contact forms and website analytics. We ensure your data remains protected through standard contractual safeguards required for transfers outside the EU/EEA.
Patient data is kept secure in our own system. We follow the GDPR and the TCPA.
